Using ready-to-use templates

Add a ready-to-use template to organize notes, images, sketches and groups on your canvas. Templates with subgroups help categorize content into groups within the template. Changing the color of a group or subgroup within the template will change the color the notes within it.

Add a template from:

  • The Span web client using a certified mobile browser
  • The Span web client using a certified computer browser
  • Span Workspace wall client


Adding a ready-to-use template

On the web

  1. Select Template from the toolbar
  2. Click on a template to add it to the canvas
  3. Give the template a title (optional). You can edit the title of the template while it is still in your tray by double clicking it. Use the three-dot menu on the top right corner of the template to duplicate or delete the template from your tray.

You can also access the three-dot menu by right-clicking the template on the web, or pressing and holding in Span Workspace.

  1. Drag the template from your tray to the canvas when you are ready to share it

  1. Add notes, images, text boxes, sketches and groups by dragging them inside the template  


On the wall

  1. Select Template from the toolbar
  2. Click on a template to add it to the canvas


  1. Double tap on the template title to open the editing box. Give the template a title (optional).
  2. Click Done to close the editing box

Setting the subgroup colors

  1. Click on the subgroup
  2. Open the color options in the quick tools bar and choose a color


Changing or hiding the title

From the three-dot menu choose one of the following:

Rename –
 change the name of the group
Hide name
 hide the group's name
Show name
 show the group's name
Hide subgroup names 
 hide the names of all subgroups within the group
Show subgroup names 
 show the names of all subgroups within the group

Adding custom titles for your groups and subgroups helps organize them when exporting the canvas to Excel™ (see Exporting a canvas).


Duplicating or deleting

Duplicate or delete a template using the three dot menu on the quick tools bar.

You can also use the    icon on the quick tools bar to duplicate a template.
